The Project Definition Phase
The project definition phase provides the groundwork
for project planning. It comprises of key activities and outputs and it
minimises certain risks. In this blog I will discuss the above mentioned.
When starting a project the goals and objectives
should be defined. Enough time has to be taken in this step by the project team
and the management in order for the project to be successful. Goals are the “what” and the
objectives are the “how”.

Defining the project:
1: Defining
the Project Scope- This is the process
that is required in order to ensure that the project includes all the work that
is necessary, and only it, so that the project is complete with no errors.
3: Creating the Work Breakdown Structure (WBS)- This is
a tool that allows to identify the products and work elements involved in a
project. It breaks down the teams work
into manageable parts.
4: Integrating the WBS with the Organisation- An Organisational Breakdown Structure (OBS) groups
together similar project activities or “work packages” and relates them to the
organization’s structure.
5: Coding the WBS for the Information System- It describes the levels and elements of WBS,
the worki packages, and budget and cost information.
Risks That This Activity
Minimises:
1: Not
knowing what the project is and isn’t, project team focusing on the wrong
thing.
2: Not understanding what are the limitations and
opportunities are for the 4 factors mentioned.
3: The
project work won’t be defined and organised, and risks won’t be identified.
4: The responsibilities for project management, cost
reporting, billing, budgeting and project control are not defined.
